Medical Practice Back Office Manager Jobs

Our large orthopedic practice in Flagstaff is seeking our newest team member a Back Office Manager Supervises clinic staff including Medical Assistants, Surgical Schedulers and X-ray techs and DME Coordinator. May exercise supervision over other employees as structure of practice evolves.

 

Key Responsibilities include:

 

  1. Monitors daily operating activity of back office and makes necessary adjustments in work assignments.  This includes coordinating with other department managers including billing department, front desk and ancillary services.

 

  1. Oversight and development of back office policies and procedures to improve the quality and quantity of work processed. Ensures policies are communicated and administered consistently.  To work with clinic providers in developing solutions to improve workflow.(The list below is not all inclusive)
    1. Clinic Flow Management: on time clinic starts, assessing flow throughout clinic day.
    2. Maintain Provider Protocols Binder.
    3. Maintain clinical and surgical block schedules for providers.
    4. SRS Forms Improvement / Development

 

  1. Oversight of back office staff:
    1. Coverage planning to ensure adequate staffing at all times.
    2. Staff Training.
      1.                                                                 i.      All MA staff are cross trained to work with other doctors as well as cover authorization specialist position.
      2.                                                               ii.      AED/Emergency Preparedness Training & Procedures
      3. Conduct Performance Reviews
      4. Auditing back office staff for following correct procedures (not all inclusive):
        1.                                                                 i.      MAs
          1. Zylomed staff reviews & failed autonote faxes
          2. New Patients receiving: BMI, pulse, respiration, and O2 levels
          3. Aged Orders & Messages
          4.                                                               ii.      Surgical Schedulers
            1. Ailment auth # appropriately listed each time
            2. Coordination of information with surgical centers
            3. Proper Utilization of surgical block times.
            4.                                                             iii.      Appropriate exam room supplies, cleanliness, wavacide rotation, patient education materials, etc.
            5.                                                             iv.      Ensure staff satisfaction, positive team atmosphere.  Schedule retreats and/or other team building activities.
